About the Position

Hanley Investment Group is currently seeking an Office Manager with Commercial Real Estate experience who can wear many hats and thrive in a fast-paced environment. This role supports the C-suite, helps manage the daily operations of the office, and coordinates both internal and client-facing events and conventions.

The ideal candidate is a hands-on team player who’s not afraid to roll up their sleeves, jump in wherever needed, and tackle problems head-on. They should be comfortable managing multiple large projects, and keeping things moving with a positive, solutions-oriented mindset. Strong organizational and customer service skills are a must.

Job Duties and Responsibilities:

Operations & Office Management

· Support C-suite with administrative and strategic initiatives

· Maintain clean, organized digital file systems and enforce process consistency

· Monitor internal workflows, identify inefficiencies, and recommend improvements

· Manage vendor accounts, office supplies, mail, and facility maintenance

· Coordinate onboarding/offboarding processes for staff and agents

· Oversee tech support coordination and CRM upkeep

· Assist in property management tracking and deadlines

· Manage mail, office supplies and maintenance requests.

· Assist with Company events and promotions.

· Manage weekly company meetings and board room calendars

· Annual property maintenance schedules

· Supporting the office in any and all areas as a team player

Compliance

· Maintain agent and staff licensing compliance with DRE regulations

· Ensure adherence to company policies and legal state real estate regulations

· Maintain updated and accurate records related to state real estate requirements

Events & Company Culture

· Assist with planning company events, team activities, and promotions

· Support recruiting and internal communications to maintain company culture

Finance & Reporting

· Assist with annual budgeting for office and events

· AP/AR processes as needed related to office management

Skills/Qualifications:

· Strong customer service mindset with professional interpersonal skills

· Effective problem-solver with solid business and analytical judgment

· Highly organized with excellent time and project management skills

· Detail-oriented and deadline-driven with a proactive, self-motivated approach

· Tech-savvy; proficient in Office 365 (Word, Outlook, Excel, PowerPoint, Teams)

· Quick learner who adapts well to new technologies and evolving processes

· Clear communicator who is confident, diplomatic, and tactful

· Able to lead by example, work independently, and thrive in a fast-paced team setting

· Maintains discretion with sensitive or confidential information

 

Education/Experience:

· Bachelors Degree

· 4+ years experience as a manager and/or operations role

 

Additional Requirements:

· Full-time, in-office position.

· Must pass a background and employment history check.

· Must be able to frequently ascend and descend stairs.

· Must be able to lift and carry items weighing up to 25 pounds.

· Local candidates only. No moving expenses available.

Salary Range:

$75,000 - $80,000 annually
