Job Description

Xact HD Restoration is a leading construction company specializing in residential home restoration. We are looking for a highly organized and proactive Office Assistant to join our team. The ideal candidate will have strong computer skills, excellent customer service abilities, and experience in finances and project management.

As an Office Assistant you will play a key role in ensuring smooth office operations and communication across all aspects of the construction process. You will provide administrative support, assist with finances, maintain client communication, and track subcontractor schedules. If you are detail-oriented, highly organized, and passionate about working in the construction industry, we'd love to have you on board!

Key Responsibilities

  • Client Communications: Inform clients about our company's contract agreements. Keep clients informed throughout the entire construction process, ensuring they are updated on project timelines, job dates, and any changes or delays.
  • Subcontractor Scheduling: Track and manage subcontractor schedules, ensuring they are aligned with project timelines and that all parties are informed of scheduling updates.
  • Expense Tracking: Monitor and track project expenses, ensuring budgets are adhered to, and assist with invoicing and financial reporting.
  • Customer Service: Answer phone calls, respond to emails, and provide excellent customer service to clients, vendors, and subcontractors.
  • Project Management Support: Assist project managers with scheduling, documentation, and progress tracking for ongoing construction projects.
  • Data Entry & Reporting: Input project data into management software and create regular reports for management review.
  • General Administrative Tasks: Handle various administrative duties to support the team and ensure smooth office operations.

Qualifications

  • High school diploma (Required)
  • Pursuing a BS or MS Degree in Construction, Project Management, Business Administration, Construction Management, Accounting, or a relating field (A Plus!)
